How is pricing structured?
CareStack uses a flat monthly fee based on your agency size (caregiver count), not per-user pricing. Your entire office staff — admins, schedulers, billing — all get access. Caregivers use the mobile app free. The only additional cost is marketplace transaction fees when you fill shifts through ShiftLink.
Do you offer special pricing for startups?
Yes! Agencies with fewer than 10 caregivers qualify for our Starter plan at $49/month, with the first 3 months completely free. You also get your first 50 marketplace fills with no transaction fees, and a 20% discount locked in for 12 months when you upgrade to the Growth plan. We also include a step-by-step setup wizard with demo data so you can explore the platform before going live.
Can I switch plans later?
Yes! Upgrade anytime and the change takes effect immediately (we prorate the difference). Downgrades apply at your next billing cycle. As your agency grows, you can seamlessly move from Starter to Growth to Professional.
How do ShiftLink marketplace fees work?
All plans include marketplace access at no extra monthly cost. When you post a shift and a caregiver fills it, you pay a one-time transaction fee ($40 standard, $55 premium, $65 urgent). Caregivers always receive 100% of their shift rate plus any urgency bonuses. Starter plan members get their first 50 fills free.
Is there a setup fee?
No setup fees for Starter, Growth, or Professional plans. Enterprise customers receive white-glove onboarding with a dedicated implementation specialist, included in your plan. Implementation typically takes 2-4 weeks.
Is my data secure and HIPAA compliant?
Yes. All plans include enterprise-grade security with AES-256 encryption, comprehensive audit logging, and full HIPAA compliance. We sign a Business Associate Agreement (BAA) with every customer as part of onboarding.
What payment methods do you accept?
We accept all major credit cards (Visa, Mastercard, Amex, Discover) and ACH bank transfers. Enterprise customers can request invoice billing with Net 30 terms. Annual billing saves 20%.
Do you support I/DD providers?
Yes. CareStack supports both home care and I/DD (Intellectual and Developmental Disabilities) providers on the same platform. I/DD features include Individualized Service Plans (ISP) with measurable goal tracking, behavioral support plans, group home management, rights restriction documentation, and DSP certification gating. Simply flag a client as I/DD and the module activates — your home care clients are unaffected. Available on Professional and Enterprise plans.
Can I bring my existing caregivers onto the platform?
Absolutely. Upload a CSV of your current team and CareStack will automatically match them against existing platform users to prevent duplicates. Each caregiver gets a personalized invitation email with a one-click onboarding link. Their profile comes pre-filled from your data — they just set a password and they are in. Available on Growth plans and above.
Who owns my data? What if I want to leave?
You own 100% of your data — always. Export everything (clients, caregivers, shifts, billing, care plans) as JSON at any time from your Settings. If you decide to leave, there are no export fees, no waiting periods, and no data hostage situations. For caregivers, their portable profile (shift history, ratings, certifications) belongs to them and follows them across agencies. We also support full data deletion requests via our DSAR portal, compliant with HIPAA requirements.
